It sends the clients a reminder text and email 2 days before the appointment is due. It's linked with either your Google Sat Nav or your TomTom Satnav on your phone. It stores your "What3Words" address for hard-to-locate addresses and is linked to a digital Google Calendar. My clients are so impressed with the system. I literally have no idea how I got on without this. It's a true business changer for any sweep. I'm so grateful this app exists and for the hard work put in to help us sweeps out. The website and app can be accessed only by accounts you've authorised, and you can set their permissions - administrator or employee - to determine what they have access to and can update.

The mobile app, available for Android and iOS, is to be used when you're on site to create the certificates and warning notices. Simply search for your customer by name, address, postcode, telephone, or email, to load their details, then select or add appliances, schedule any appointments, tap the finish button and you're done! The database will be updated with the appointment details, and your email app will open with the certificates/warning notices attached for you to send to your customer.
The mobile app also allows you to add new customer, update existing customers, and schedule appointments when you're on the go.
The website gives you access to some things that just don't work well on such a small screen, such as the list of due and overdue customers, dashboard graphs, company settings, user management, and more.
As you send the emails from your own email address, you'll always have access to the attachments within your Sent Items folder.
You can also add another email address as the BCC to send yourself a copy.
From the website, on the customer's appointment details, you can reproduce any certificates and warning notices for that appointment, with full details except the customer's signature.
There are three types of reminders that are sent to customers: booked appointment reminders, reminders to book, and booking confirmations.
Emails are sent by default, but you can also send text messages at 4.5p per message. You can choose whether to send both or just one.
There are also follow-up emails and introductory emails.
You can send as many reminders prior to a booked appointment as you like, in the months, weeks, and days before.
Reminders to book are for customers who are coming due in the next 1-6 months, depending on your settings. These customers are sent a reminder on the first of the month with details about their appliance now due for a sweep and how to contact you to book in. The website dashboard shows you who is due for a sweep so you'll know who is going to receive a reminder.
Follow-up emails are optional emails sent at the end of an appointment to good customers and can contain your review links to grow your business online.
Introductory emails can contain any content such as terms and conditions, and you can send these when adding a new customer.
A cloud-based database allows you to share data across multiple devices and team members. Each device and user can read and update data in realtime, whereas with a local database, you would each have to maintain a copy of the data and then synchronise it periodically.
When any updates are made to the database to store more data about an appliance or customer, etc. you will automatically receive these through the Google Play Store or Apple App Store, and when you refresh the website, so you do not have to apply any updates yourself.
Yes, you can send certificates via WhatsApp.
When creating a certificate, your phone will prompt you to choose the app to share the attachment, and you can select WhatsApp.
Yes, the app works offline and will sync your data when you're back in coverage.
With your appointments added to the database, you can download your customer data for the day ahead from the app, and if you're out of internet coverage, the search feature will use the data from your device. The data is kept for a day and then removed to free up storage.
Select the customer as usual and fill in appliance and appointment details, and the certificates and warning notices will be created and wait in your email outbox. The database update will be pending until you reconnect to the internet.

Payments are facilitated by Stripe and we do not hold your billing details.

You can import your existing customer data via our import spreadsheet where you simply fill in any customer and appointment details and the database entries will be created.

When adding your company details to the certificate branding, there are templates you can download to get started, or you can send us your information and any logos and we can assist you.
We do not currently integrate with any accounting software as many sweeps use a payment card reader such as SumUp which can perform the same function.
The certificate acts as an invoice as it contains details about the sweep price and any extras sold, and if you are VAT registered, it can automatically calculate it.
So while Sweep Certificates does not yet have all the features of chimney sweep accounting software, it is still possible to invoice customers and record payment method and amounts for each appointment within the system to help you reconcile.
Yes, absolutely. When adding or updating an appointment in the app, you can tap the Add to calendar button and it will add or update the entry in your calendar.
